The week, the people, the cost

Work rota software for small UK employers

A small UK employer with five to eighty people on shifts, writing the week's rota, changing it when someone calls in sick, costing it and keeping it for payroll, and tired of a spreadsheet and a group chat

Not an employer tracking annual leave, attendance or hours worked, not a payroll bureau, not a US business writing a schedule or an Australian one writing a roster, not a hospital rostering doctors, and not a company shopping for a full HR suite

One place for every shift you have to fill

The week

Every shift filled, every hour counted, before it is published

The rota is built from the days you open and the people each shift needs, so the hours per person and the shifts still empty are on the screen while you are writing it, not discovered on Monday morning when someone does not turn up.

The people

Every swap and sickness change against the person, with who made it and when

A swap agreed in a group chat is a change nobody can find a week later. In Pro the change is made on the rota, by a named person, and the published version updates, so the record payroll is run from is the record the team actually worked.

The cost

What the week costs, at each person's rate, before you commit to it

Every person carries their own hourly rate and contracted hours, so the cost of the week and the gap against contracts are totals that follow the rota rather than a sum someone does afterwards in a second spreadsheet.

Tools

The tools, free and open

Weekrota is two free worksheets and one paid record for the UK employer with five to eighty people on shifts.

The first lays the week out: days open, shifts a day, people on each shift and hours a shift, and returns the rota hours in the week, the hours per person, what the week costs at your hourly rate and how that sits against the hours you have contracted.

The second turns a salaried person's pay into an hourly rate, a loaded cost with employer on-costs and the price of the rota week you have just given them. Both compute in the page with no account and no trial clock.

Should you just buy a workforce suite instead?

If you need clocking in, timesheets, payroll exports, holiday balances and HR files in one place, buy a workforce suite and do not read on. Weekrota is for the employer who has payroll handled and needs one thing kept properly: who is on which shift this week, what it costs and what changed. It is priced and scoped for that and nothing else.

Each figure is sourced in research/data/claims.tsv with its retrieval date; prices change and the vendor's own page is the authority.

Weekrota Pro

£7

per month, whole team

The week is worked out. Keeping it is Weekrota Pro.

The worksheet gives you one week's hours and cost. Pro remembers it: the people, their rates and contracted hours, every week's shifts, every swap and every change, and the totals that follow when a shift moves.

  • Download the rota as a file you can send to the team
  • Publish it without the Weekrota watermark across it
  • Come back to this week's rota with the shifts still in it
  • Put your own logo on the rotas your staff see
  • Send a member of staff their shifts for the week without leaving the rota
  • Not used by Weekrota: nothing here takes a payment from your staff
  • Push the week's rota cost across to the books as a wage accrual
